Who we are

Gig Flow is a music gig staffing platform operated by Ledezma Prat Ventures LLC (Aliso Viejo, California). It helps music management companies coordinate offers between their rosters of musicians and the gigs they book. This policy explains what data we collect, how we use it, and your rights.

What we collect

  • Identity: name, email address, phone number
  • Location: home address (used only to calculate driving distance to gigs)
  • Roster context: instruments you play, tier ranking, channel preferences
  • Gig history: offers sent to you, accepted, declined, expired, played
  • Communications: every SMS and email we send to you or receive from you (TCPA audit trail)

How we use it

  • Deliver gig-offer notifications via SMS or email
  • Match musicians to appropriate gigs by location, instrument, and availability
  • Send confirmations, reminders, and release notifications
  • Maintain legally-required audit logs (TCPA, 5-year retention)
  • Process your opt-out requests via STOP keyword

Mobile information is never shared with third parties or affiliates for marketing or promotional purposes.

Text messaging opt-in data and consent are not shared with any third parties.

Who we share with

We share data only with these service providers, strictly to deliver the service:

  • Twilio — SMS delivery, opt-out handling
  • Mapbox — driving-distance lookups (addresses only; we never send other personal data)
  • Railway — application + database hosting
  • Cloudflare — DNS, content delivery, security

None of these providers receive your phone or contact data for any purpose other than delivering Gig Flow's service to you.

Retention

Your account data is retained while you are an active musician on a Gig Flow roster. After you leave or are removed, we anonymize personal fields (name, email, phone, address, notes) within 30 days. An anonymized audit log of past messages is retained for 5 years to satisfy TCPA recordkeeping requirements; after that it is deleted.

Your rights

  • Access: contact us and we will provide an export of your data within 30 days
  • Deletion: contact us and we will anonymize within 30 days
  • SMS opt-out: reply STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT, REVOKE, or OPTOUT to any of our messages
  • Correction: ask your management company to update your roster record, or contact us directly

Children

Gig Flow is not directed to anyone under 18. We do not knowingly collect data from minors.

Changes

If we update this policy, we will post the new version here with a fresh "Last updated" date. Material changes will be communicated via the service.
